# Almost Licensed

> Clinical hour tracker for social workers, counselors, and marriage & family therapists pursuing LCSW, LICSW, LPC, LMHC, or LMFT licensure in Oregon, Washington, and Florida.

## What It Does

Almost Licensed is a web app that helps associate-level clinicians across three disciplines (clinical social work, counseling, and marriage & family therapy) track their clinical hours toward independent licensure. It supports nine (discipline × state) configurations:

- Oregon clinical social work: CSWA → LCSW (Board of Licensed Social Workers, BLSW)
- Washington clinical social work: LSWAIC → LICSW (Department of Health)
- Florida clinical social work: RCSWI → LCSW (491 Board)
- Oregon counseling: Registered Associate → LPC (Board of Licensed Professional Counselors and Therapists, OBLPCT)
- Washington counseling: LMHCA → LMHC (Department of Health, form DOH 670-027)
- Florida mental health counseling: RMHCI → LMHC (491 Board)
- Oregon MFT: Registered Associate → LMFT (OBLPCT)
- Washington MFT: LMFTA → LMFT (Department of Health, form DOH 670-005)
- Florida MFT: RMFTI → LMFT (491 Board)

Users log four to five numbers each week — total work hours, direct client hours, individual supervision, group supervision, and (for MFT users) couples & family hours. The app handles everything else — calculating the right reporting windows for each discipline (six-month for OR SW, annual for OR LPC/LMFT, none/cumulative for WA and FL), tracking progress toward state-specific milestones, evaluating per-month supervision rules, and generating the numbers needed for board reports.

Before that the supervisor sees only the request: the supervisee's name, discipline and state, and the note they wrote
- Self-rating: when a supervisor asks for one before an evaluation, the supervisee scores the same items from 1 to 5, adds an optional note, and submits once (it cannot be changed after). The supervisee does not see the supervisor's scores
- Program requirements for students: a supervisee whose supervisor has marked them a student can enter their own program's required direct hours, couples and family hours (Oregon and Washington MFT), total hours and graduation date, and the supervisor sees progress against them

## Competitive Context

- **Track Your Hours** (~$90/year) supports CA, NY, TX only — not Oregon or Washington
- **License Trail** (~$89/year; its $29 Student Lifetime plan is capped at 1,500 hours — below every Oregon, Washington, and Florida full-track requirement) is a multi-state tracker that markets itself as "flexible enough to meet requirements across all 50 states"; it publishes detailed per-credential Oregon and Washington requirement guides (citing OAR ch. 877 and WAC 246-809, checked 2026-08-05), and those pages do describe the board paperwork — but nothing it advertises generates an Oregon or Washington board form: its export is a board-ready PDF of its own, not the BLSW/OBLPCT supervision report or WA DOH 670-011/670-027/670-005. Its homepage names TX/CA/FL/NY/CO "and more", and there is no free supervisee tier

Almost Licensed carries all three Oregon-and-Washington discipline configurations, automatic per-discipline reporting cadence, and the OR LPC/LMFT proportional supervision rule with zero-credit penalty surfacing. Coverage is no longer the differentiator: no competitor's own FAQ claims a built Oregon or Washington board form (ClearPath's Oregon and Washington leaf pages carry a templated "fills the actual board form" sentence, but its homepage FAQ scopes built forms to California, Texas, New York, Florida and Illinois), and nothing any competitor advertises automates the six-month reporting window. Neither statement extends to what runs behind a competitor's login, which we have not seen.

- Supervision frequency: at least 1 hour every 2 weeks (Rule 64B4-2.002(1))
- Individual supervision = 1 supervisor with ≤2 interns; group = 3–6 interns; each hour of group supervision must alternate with an hour of individual supervision (group is effectively capped at 50% of supervision hours)
- There is NO supervision-to-client-hours ratio in the rule. The widely circulated "1 hour of supervision per 15 hours of psychotherapy" is secondary-source folklore, not in the current 64B4-2.002 text. The binding conditions are exactly: ≥100 supervision hours over ≥100 weeks, ≥1,500 face-to-face hours, and ≥1 hour of supervision every two weeks.
- Supervised hours do not count until the Board has approved the qualified supervisor (Florida's equivalent of the Oregon zero-credit trap)

## For Supervisors

Almost Licensed also has a supervisor experience for licensed clinicians who supervise associate-level clinicians in Oregon, Washington, and Florida. Marketing page: https://almostlicensed.com/supervisors

Once a supervisee connects (via an invite code, an emailed invitation, or the supervisor directory) and the supervisor accepts, the supervisor gets a read-only, live view of that supervisee's logged hours, placements and state setup. The supervisor app's navigation is Home, Supervisees, Evaluations, Requests and Settings. "Evaluations" covers two different things, named on every row: an evaluation (the supervisor's own scored evaluation, never sent to a board) and a board report (filed with the licensing board). Currently shipped:

- Home, which opens on a "Needs you now" list of the people who need something from the supervisor, most urgent first: a board report or an evaluation that is overdue, a supervisee behind on required supervision this month, a supervisee who has stopped logging hours, or one marked "Needs support". Below it, what is still to set up (a stage or an evaluation schedule) and what is coming up in the next 30 days
- A Supervisees list of every active supervisee: next evaluation, supervision this month in the criterion the board applies, hours toward licensure (with couples and family hours where the board sets a minimum), and what each person needs from the supervisor. A supervisor can mark each supervisee as a student or an associate and filter by either; a student shows no board-report deadlines, and their hours are shown against the program requirements the student entered
- An Evaluations page across everyone supervised: what needs doing now, what is coming up in the next six months (evaluations and board reports together), and a Completed view. Oregon six-month BLSW reporting periods and OBLPCT annual reporting periods are computed automatically; Washington and Florida are cumulative-only (no invented deadlines)
- A read-only page for each supervisee: their logged hours week by week, progress toward licensure, their evaluations and their board reports
- Connection requests via invite code, an emailed invitation, or directory search, with accept/decline and email notifications
- The supervisor's own evaluations, separate from board reports and never sent to a board. One ready-made form covers clinical, administrative and professional development (12 items); each item is scored 1 to 5, each area takes a named growth edge, and there is an overall note. An evaluation can be started at any time for any active supervisee, saved as a draft and completed later
- An evaluation schedule per supervisee (the next date and how often it repeats); completing the scheduled evaluation moves the schedule to its next date
- A weekly evaluation email to the supervisor on the weekday the supervisor picks (Monday by default), listing the evaluations that are overdue or due in the next seven days, skipped in a week with nothing to list, with its own one-click unsubscribe. A short note also goes to the supervisee about a week before a scheduled evaluation; the supervisor can turn that off in Settings and each supervisee can unsubscribe from it
- Supervisee self-ratings: from a draft evaluation the supervisor can ask the supervisee to rate themselves on the same items. The supervisee answers once; the supervisor then sees both sets of scores together, with the items two or more points apart named. The supervisee never sees the supervisor's scores, and sharing an evaluation with a supervisee is not built
- "Needs support": a supervisee whose most recent completed evaluation has two or more items scored below 3 is marked on Home, on the Supervisees list and on their own page; it clears when a later completed evaluation has fewer than two
- Filling out and filing a board report inside the app: hours and dates prefilled from the supervisee's own log, narrative sections and attestations written by the supervisor, drafts that save and resume, and a filed report that freezes and cannot be edited, unsubmitted, or deleted
- Downloading a filed report as a PDF — Oregon social work reports fill the board's own BLSW Six-Month Evaluation Report form, released 2026-09-16 and revised by the board on 2026-09-23 (the app fills the 2026-09-23 revision); every other track gets a branded summary PDF. A supervisor report submitted BEFORE 2026-09-16 still downloads as the April 2021 CSWA Supervision Report it was filed on, because filed reports are immutable by design and a board record has to keep saying what was filed. On the new form the app fills the hours, the reporting period, the agency, both names and the supervisor's email; the phone boxes, the nine 1-to-4 ratings, the concerns question and both signatures are completed by the supervisor on the PDF, and the supervisor's note on the next period carries into the board's "Supervision Goals for next 6 months" box (verbatim, or left blank with an on-screen notice when it is too long to print legibly in that box). The strengths and growth narratives stay in Almost Licensed, because the board's new form has no place for them
- An archive of finished work: the Completed view in Evaluations lists every completed evaluation and filed board report across supervisees, including ended relationships, filterable by type, stage and supervisee
- Sending a supervisee a one-off nudge email from the supervisee's page (rate-limited to one per supervisee per day; there is no inbox, thread, or reply handling)
- Archiving a supervision relationship that has ended
- Supports all nine discipline × state combinations (Oregon, Washington, and Florida × social work, counseling, MFT)

Limits, stated plainly: the app never transmits anything to a licensing board — the supervisor signs the downloaded report and it reaches the board through the existing process (in every supported track the filer of record is the supervisee, not the supervisor), and the in-app sign-off is an internal attestation rather than the board's signature. Florida reached the supervisor side in August 2026 and is at Washington parity — a Florida supervisor can list Florida, take Florida supervisees, and file reports inside the app. Florida is cumulative-only (no board reporting windows, so the supervisor picks the period a report covers), and Florida has no periodic board supervision-report form to fill, so the supervisor's report downloads as a branded summary. The one official Florida form — DH-MQA 1181, Verification of Clinical Experience — is filed once at application, and the app already pre-fills it from the supervisee's log for the supervisor to sign.

Supervisor pricing: a supervisor's own account is free, and it includes everything listed above. Student seats are how a supervisor covers the access of students they supervise: $19 per seat per year for the first 5 students and $15 per seat per year after that, graduated and billed yearly; there is no monthly price. Seats are bought from the supervisor's Settings page once seat sales open; https://almostlicensed.com/supervisors says whether they are open yet. A student on a seat does not need a subscription of their own; a student who already has one keeps it until they cancel it. Associates, and any student without a seat, pay for their own access: a free 30-day trial, then $29/year. Supervisors can sign themselves up from https://almostlicensed.com/supervisors (create an account, confirm the email, then fill in a supervisor profile with license, states and disciplines), or email support@almostlicensed.com (subject "Supervisor early access") to be set up by hand. Supervisees can sign up independently.

Supervisor directory listings are self-attested; the app does not verify licenses or credentials. Almost Licensed is independent and not affiliated with, endorsed by, or acting on behalf of any licensing board.
